Visibility and Transparency in Document Production Management

DocBridge® Auditrack's primary goal is to store document production metrics from distributed sources along the whole production line into a central repository, to be able to generate reports, charts or dashboards.

That provides for keeping track of the document itself as well as of all the relevant events throughout the communication process.

DocBridge® Auditrack can thus be utilized for  production monitoring and job planning or for audit inquiries.

DocBridge® Auditrack can restore the visibility lost on the execution of document processes through real production events that are recorded progressively in the centralized repository.

Architecture and Components

DocBridge® Auditrack

DocBridge® Auditrack architecture is based on a central data repository and on micro-services surrounding it. Events in the document processing systems generate the input date for the repository and micro services are tasked for their collection, processing, and presentation:

  • Micro-services are light-weight processes, specialized in a single task, inspired by the philosophy of "doing only one thing but doing it well"
  • These micro services communicate with each other through REST APIs or a messaging service (MQ), which allows for a weak coupling of services between them
  • Whenever needed or during an update, it is possible to replace one of the micro services without compromising the functioning of the application
  • It is also possible to use the unit's functions from an external application
  • This architecture allows for better scalability and more flexibility to manage resources since it is possible, as needed, to install services on one or more servers without compromising operation
Functionality

Scope of Micro-services

  • Central Configuration Service (Configuration)
allowing other services to retrieve their specific configuration settings regardless of their installation location.
  • Service Directory Service (Eureka)
allowing services to find each other.
  • Proxy Service
allowing unified access to services regardless of their installation location.
  • Parameterization and Query Management Service (SettingsService)
This is the core of Auditrack's operation.
  • Event Storage Service (StorageService)
allowing to process the reception of event data without putting load on the SettingsService side.
  • Authentication Service (AuthenticationService)
supporting authentication and generation of OAUTH2 tokens. This service can be configured to work with LDAP and ActiveDirectory.
  • Scheduling Service (SchedulerService)
to manage scheduled tasks (e.g. periodic report generation), alerts, etc.
  • Email Sending Service (MailingService)
  • Web User Interface Management Service (Auditrack)
allowing unified access to services regardless of their installation location.

Application Scenarios

1 360° Production Supervision
2 One Central System Serving Individual Needs from Different Departments
3 Cost Control Through Evaluation of the Right Key Indicators
4 Alert Mechanism when Predefined Indicator Thresholds Are Breached
1 360° Production Supervision
Aim

Production Managers want to see "what's going on" in production. Sometimes this information is only transparent if it's possible to dive into the very details of specific process steps or follow the trail of a specific exemplary mail piece and its document components. Such information is key to optimization and cost savings.

Challenge

Existing query or reporting system is lacking flexibility on the current indicators and level of detail of information. And it also comes with a price tag and often many constraints. There is a need for a lightweight system that is very flexible towards the data sought for. Many upstream or downstream process information elements are missing to complete the picture.

Solution

Make all necessary information on the full lifecycle centrally available in a highly flexible yet light-weight manner. Auditrack takes any information in the document process chain to feed a central data repository. From the reports of an ERP system to the API of a printing and finishing line everythin can be used as a source.

2 One Central System Serving Individual Needs from Different Departments
Aim

Different departments of an organisation have different information needs. For example, accounting wants to have monthly or weekly reports on which jobs have beeen successfully completed and thus can be billed to the customer. Operations want's to know how the relation between print to digital channels develop in order to support long term planning of print productions. Customer service needs to be able to have a detailed research on specific customer communications to proof that documents have reached a customer with the correct content in the appropriate time.

Challenge

A one-fits-all, overly complex technical management information system typically doesn't give the various departments exactly the business information that they need in the form that they need.

Solution

Give each department what they truely need to see and not what the system wants to show. Auditrack allows different departments to create their own view on data through ad-hoc queries, individualized reports, and widgets.

3 Cost Control Through Evaluation of the Right Key Indicators
Aim

The speed of changes and the process complexity in customer communication is still increasing due to the multi channel challenge.

Challenge

Key indicators that help management to identify points of adjustment, don't stay static. Along with the the incoming changes, management needs to see different controlling information every other day. The larger and more complex traditional, static MIS have become, the more expensive are the adjustments.

Solution

A data repository and information system that is highly adaptable to new information sources and data types and flexible to new types of inquiries. The seamless supervision of the production of communication throughout the whole lifecycle in Auditrack allows to uncover cost saving and optimization potentials in operations and production.

4 Alert Mechanism when Predefined Indicator Thresholds Are Breached
Aim

Document production and distribution is becoming more complex and the availability of key information and business relevant indicators is reduced by this technical complexity.

E.g. a marketing manager who needs to watch out for his budget or a sales rep who needs to ensure the SLAs of his key accounts need to know in time when a critical point is reached in order to initiate the necessary changes to production parameters.

Challenge

Not knowing about such critical situations increases the risk of harmful situations or prevents the business to quickly adapt to market changes in order to avoid such risks. E.g. running out of budget and still continuing a costly print run or producing low priority volumes when critical volumes have not been completed, carries heavy business risks and avoidable costs.

Solution

Enable specific key indicator and combine these with a comparison to thresholds as the base of alert mechanisms. Business shall be able to choose such alerts to get closer to optimal processes and does not need to stick to proven, safe, yet sub-optimal processes.
