Standardized and automated document preparation in the digital inbox

The high-performance, scalable and seamlessly integrated DocBridge® Conversion Hub platform goes beyond conventional document conversion software in terms of scope and intention.

Probably the most important advantage of the solution developed by Compart is the almost unlimited format variety: There is practically no document type that cannot be processed by DocBridge® Conversion Hub. This reflects Compart's profound know-how as a specialist for data streams in document and output management.

Even voice messages, for example from messenger services (WhatsApp, Viber, Line), images in various formats, e-mails along with attachments and content in very proprietary or outdated formats can be processed with the solution. DocBridge® Conversion Hub functions quasi as a "funnel" that receives, recognizes and prepares every received electronic document, regardless of its format, i.e. converts it into a readable and analyzable format, at the same time extracting the relevant data and thus laying the foundations for its automated further processing, including on AI-based processes.

Architecture and Components

DocBridge® Conversion Hub

The core of the platform is a kind of "dispatcher", which analyses every incoming message (e-mail, fax, SMS, messenger service, letter/paper) and automatically converts it into the optimal format for the respective document. How should the further processing take place?).

DocBridge® Conversion Hub also includes an OCR function for extracting content and metadata (optical character function) and offers the option of freely configurable integration of third-party applications.

Using the DocBridge® Gear solution, DocBridge® Conversion Hub can also be integrated into complex document processing processes, for example on the basis of AI and robotics technologies.

Functionality

Central conversion and digital inbox with DocBridge® Conversion Hub

  • Acceptance, classification and assignment
incoming (electronic) content of any type (e-mails plus attachments, scans, faxes, digitally generated files including Microsoft Office formats or Apache OpenOffice, voice and messenger messages, images generated by mobile devices).
  • Typical activities of the digital inbox
    including text analysis (e.g. opening/reading e-mails, "unpacking" e-mail attachments).
  • Scalable and high-performance conversion of incoming documents
archivable in rule-compliant, barrier-free, protected and searchable formats (including PDF/A, PDF/UA, XInvoice) - depending on requirements.
  • Extraction and central storage of data
on the basis of freely definable rules and criteria as a basis for automated further processing of documents (e.g. case-closing processing, based on methods of "artificial intelligence").
  • Mapping of various conversion/processing routes
"Layer" as upstream dispatcher (How should the document be prepared?).

Automated Processing of E-mails and Attachments in Different Formats

Aim

A large company with branches and offices worldwide receives tens of thousands of e-mails every day via a central electronic mailbox - from end customers as well as ex- and internal sales partners. The aim is to prepare the messages and their attachments in such a way that they can be forwarded electronically to the relevant department for case-closing processing as soon as they are received - regardless of the format in which the e-mail attachments arrive.

Solution

Conversion of e-mail body and attachment to a standard format.
DocBridge® Conversion Hub automatically triggers the following processes:

  • Conversion of the actual e-mail ("body") to PDF/A
  • Individual conversion of the e-mail attachment (e.g. various Office formats, image files such as TIFF, JPG, etc.) to PDF/A
  • Merging of the e-mail body with the corresponding attachments and generation of a single PDF/A file per business transaction
  • At the same time, all important information is read from the file (extracted) and stored centrally for downstream processes (e.g. generation of reply letters on an AI basis, case-closing processing, archiving).
Use

Professional handling with document diversity in e-mail processing.

  • Consistent automation including analysis
  • No media discontinuity (no unnecessary printing and rescanning)
  • Relief from routine tasks
  • Independence from the delivered formats in the digital inbox

Consolidation of Heterogeneous Archive Systems in an Expanding Corporation

Aim

In a company that had grown strongly through takeovers and mergers, very heterogeneous structures in archiving were created: The individual companies and divisions stored their documents locally on their premises and in different formats (AFP, PDF, PDF-A/3, etc.). A targeted and fast information search was made considerably more difficult as a result. The aim was therefore to prepare all documents generated and received by the group in a standardized manner according to precisely defined rules in such a way that they could be accessed centrally and searched in a targeted manner.

Solution

Establishment of a central conversion instance. DocBridge® Conversion Hub as a central conversion instance is able to automatically process almost any document type and convert it into the desired archiving format. The solution acts as a technological basis for the consolidation or standardization of different archiving systems in the interest of compliance (audit security) and customer service (availability of information).

Benefits

Intelligent document research and audit-proof archiving

  • Fast and targeted document search including full text search
  • High compliance (e.g. audit-proof archiving)
  • Basis for the standardization and modernization of heterogeneous archive systems
