The diverse range of new applications used to produce documents often puts a strain on the infrastructure which has developed within companies, as these applications run on different platforms and produce documents and data streams in different formats that are non-compatible. This uses up resources, is inflexible and results in high costs because, for instance, several documents to the same recipient are not sent in one envelope or inserts cannot be included dynamically.

DocBridge Pilot covers these many demands as a central solution which is platform-independent. It enables the decoupling of incoming streams of data and outgoing mail using its database-based mailing pool, provides high flexibility and variability in the preparation of the mailings and can also be used for outgoing channels such as web-services and email in addition to classic printing.

The DocBridge Pilot Concept

In DocBridge Pilot, the import of incoming documents and the issue of mail handled separately: The incoming documents to be processed are analyzed and all criteria relevant to their further processing is extracted in the form of metadata, such as the content of NOPs in AFP data streams or page content such as OMR, barcodes or text. While DocBridge Pilot saves the documents in a central mailing pool, the metadata is stored in a relational database. With a printer driver implemented for the clients in specialist departments, users are able to save Office documents in the same mailing pool and process them centrally.

Depending on the configuration, all further preparation steps can be carried out completely automatically or initiated by an administrator at any time. For example, the administrator can bundle together documents from different sources and of various format in the mailing pool and collect mailings according to required criteria as a job and optimize them for dispatch.
For each job, a series of functions can be configured prepare the mailing, such as sorting and inserting the documents in the required output format and the addition of pages with extra information such as DataMatrix codes, OMR marks, logos and advertisements on free pages.
As DocBridge Pilot is multi-channel capable, all required output channels can be used, such as central or distributed printing, email, archive or Web portal.

Additional Functions

Graphic configuration interface

The way in which the incoming documents of a specific document type are to be processed can be configured and the final result can be viewed using a graphic interface. These configurations can be versioned, so it is possible to reset them to a previous status and apply this configuration status to the production process in a targeted way.

Mail tracking and reprints

If the various downstream systems (such as post dispatch or email) are able to deliver a response about the dispatch status at the mailing level, DocBridge Pilot can produce the mailings again in the event of a fault or transfer them to an alternative dispatch method.

Accounting

All data relevant to costs and processing can be saved in detail or collectively and be made accessible to accounting and invoicing systems.

Scheduler and workflow

A scheduler and workflow concept are available in DocBridge Pilot for the automation and control of process chains. They can also be integrated into external workflow and control tools.
